At Hormone Harmony OC, communication is direct, intentional, and designed to support a strong physician-patient relationship.

For routine questions, scheduling needs, follow-up coordination, and general membership communication, patients may contact the office through the designated communication channels provided by the practice.

Membership patients also have access to direct messaging for non-urgent concerns, with responses typically provided within 72 business hours. This allows for timely, thoughtful communication while preserving availability for high-quality clinical care.

Direct messaging is not intended for urgent or emergency medical needs. If you are experiencing a medical emergency, please call 911 or go to the nearest emergency room.

Appointments

Appointments at Hormone Harmony OC are coordinated through the office to ensure each patient is scheduled appropriately and matched with the correct level of care. Appointment requests are reviewed prior to confirmation, as online submissions do not guarantee immediate booking.

New patients begin by submitting an appointment request so the office can guide them to the most appropriate starting point. Returning patients may also use this process for ongoing and follow-up care.

For in-office visits, we ask that patients arrive on time and complete any required forms in advance whenever possible to support a smooth and unhurried visit experience. Late arrivals may need to be adjusted or rescheduled based on clinical needs and schedule availability.

If a visit needs to transition between in-person and virtual care, the office will coordinate directly and provide updated instructions.

Payments

Hormone Harmony OC is a direct-pay practice. All services—including consultations, follow-up visits, memberships, onboarding, and coaching—are paid directly to the practice and are not billed through insurance.

For convenience, payments are securely processed through the practice’s online system. A payment method may be kept on file to support a streamlined and uninterrupted care experience.

If a patient moves forward with ongoing care or membership, applicable consultation fees may be credited toward selected services, as determined by the practice.

Payment is due according to the terms outlined for each service. Outstanding balances, declined payments, or unresolved invoices may result in delays in scheduling or ongoing care until addressed.

While Hormone Harmony OC does not bill insurance, patients may still use PPO benefits for outside services such as labs, imaging, and prescriptions, depending on individual coverage. Insurance coverage is not guaranteed, and patients are encouraged to confirm benefits directly with their carrier. Eligible HSA/FSA funds may be used for qualified medical expenses when applicable.

Membership

Hormone Harmony OC Membership is the ongoing care model of the practice, designed for women who value continuity, direct physician access, and a more personalized, relationship-based approach to care.

Membership reflects ongoing access to your physician and clinical support beyond individual visits, allowing care to be more continuous, proactive, and coordinated over time.

Membership is not purchased through an online checkout. It is introduced during your visit if it is appropriate and aligned with your care needs.

Because the practice is intentionally structured to prioritize access, continuity, and physician availability, membership is limited to maintain a high standard of care for each patient.

Membership includes comprehensive primary care with a midlife focus, hormone evaluation and management, preventive care and coordination, follow-up visits, direct messaging access, priority scheduling, timely support for acute concerns, and early access to wellness and community offerings.

Outside services such as specialty care, imaging, medications, emergency care, and hospital-based services are not included in membership fees unless otherwise specified by the practice.

Cancellation & rescheduling

At Hormone Harmony OC, appointment time is reserved specifically for you to allow for a thoughtful, unhurried visit with your physician.

If you need to cancel or reschedule, we kindly ask for advance notice whenever possible so that your time can be offered to another patient in need of care. We understand that unexpected situations arise and will always do our best to accommodate changes when we can.

Missed appointments, late cancellations, or frequent changes may impact future scheduling availability and may be subject to a fee, as outlined in your practice policies.

Prescriptions & refill requests

Hormone Harmony OC provides primary care that may include hormone therapy, acute care, chronic condition management, travel-related prescriptions, and other clinically appropriate treatments when indicated.

For prescription refills, we kindly ask that requests be submitted with advance notice whenever possible. Some medications may require a follow-up visit, updated labs, or clinical reassessment to ensure safe and appropriate continuation of care.

While every effort is made to support timely refills, requests cannot be guaranteed after hours, on weekends, or with short notice. We encourage patients to plan ahead, especially prior to travel or holidays, to avoid interruptions in treatment.

Certain medications, including controlled substances if prescribed, may require additional monitoring, documentation, and structured refill protocols in accordance with clinical guidelines.

Privacy & confidentiality

Hormone Harmony OC is committed to protecting your personal health information and respecting your privacy throughout your care.

Patient information is handled in accordance with applicable privacy and security regulations. A Notice of Privacy Practices is available through the practice and explains how your health information may be used, disclosed, and accessed.

In certain circumstances, the practice may be required to disclose information as mandated by law, for public health reporting, or in situations involving safety concerns. Otherwise, your information is maintained with strict confidentiality and discretion.

If you would like information shared with or released to a spouse, family member, or another individual involved in your care, written authorization may be required.

Telehealth

Hormone Harmony OC offers telehealth visits when clinically appropriate, based on the type of care and each patient’s individual needs.

Telehealth may be used for follow-up visits, symptom check-ins, lab review, and treatment discussions, allowing for continued care between in-person appointments. Some situations may still require an in-person visit depending on clinical needs, examination requirements, or safety considerations.

Patients are asked to join telehealth visits from a private, quiet setting to support a focused and confidential experience. While reasonable safeguards are in place to protect privacy, telehealth visits do involve inherent technology-related limitations and risks.

Telehealth is not intended for emergencies. If you are experiencing an urgent or life-threatening condition, please call 911 or seek immediate medical care.

Forms & documents

To ensure a smooth and well-prepared experience, patients may be asked to complete a few required practice forms prior to or during the appointment process. This allows the practice to review your history in advance and prepare for your visit.

These may include clinical intake forms, consent documents, and administrative agreements related to care, privacy, and practice policies.

Completing requested forms in a timely manner helps create a more efficient, seamless visit and allows for more focused time with your physician.
